Google Forms responses are often used to populate invoices, contracts, and consent forms—documents that typically need to be shared as polished, professional PDFs. While Google Forms lets you print individual responses, the formatting is standardized and limited. For businesses, this can reflect poorly on branding and overall professionalism, which is why many teams still manually transfer responses into documents or PDFs. Thankfully, newer form builders can automate this process for you.
When to Use Custom PDFs
- Invoices: Send customized invoices for your clients, whether it's for sales, services, or recurring payments.
- Order Confirmations: Automatically generate order confirmation PDFs after a customer makes a purchase.
- Contracts & Agreements: Generate personalized contracts or service agreements with custom terms, client details, and signatures.
- Quotes & Estimates: Generate professional quotes or price estimates for potential clients.
- Consent Forms: Create medical or legal consent forms where responses are automatically converted into PDFs with signed consent and relevant details.
- Event Tickets: Create personalized event tickets for attendees, including their name, ticket type, and more.
How to Turn Individual Google Forms Responses into PDFs
- Navigate to Responses at the top to view Individual entries.

- Click the print icon or vertical ellipsis ⋮ in the upper right corner, then select Print.

- You’ll be redirected to a new tab showing the print preview. Choose Save as PDF, then select a destination folder.

- Go back to your form and click > to save the next response or < for the previous response. Follow the same steps above for the rest of the entries.

You will now receive PDF copies of each response in a standard-formatted file, which will look the same as on the responses page.
Automatically Generate PDFs from Individual Responses
To save time, you can automate PDF generation every time someone completes your form. Currently, Google Forms doesn’t have this built-in feature, however more modern form builders like Fillout can do this for you, provided you have a PDF template.
To start, make a Fillout form. Then, navigate to the Integrate tab at the top and look for Generate PDF.

Drag your PDF template and map form fields in the right-hand panel. Once everything’s set, click Publish. Now, a PDF will be generated for every form submission.

You can also add a signature field and a Stripe-powered payment page to your Fillout form to collect payments directly within the same form. Amounts can even be customized through built-in calculations.
Automate Sending PDF Submissions to Respondents
Fillout lets you email a respondent’s submission with the generated PDF attached. To do this, click Integrate at the top, then select Send PDF in email.

Simply enable Respondent notifications and Attach generated documents/PDFs. That’s it! Respondents will now receive their PDF submission directly in their email inbox.

If you prefer to make this optional, you can add a Download PDF button to your form.
Converting individual form responses into PDFs can be done manually on Google Forms, however this isn’t ideal for large volumes of responses. To streamline your workflow, automate the process using other form builders like Fillout.
